Privacy Policy

Last updated: September 2026

AccrualOS ("AccrualOS", "we", "us" or "our") is committed to protecting the privacy of the accounting and bookkeeping practices, their team members, and their clients who use our platform. This Privacy Policy explains what information we collect, how we use it, and the choices you have. It is written to be consistent with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

Note: This document is a general template. It should be reviewed by a qualified legal adviser and tailored to your registered entity, ABN, and actual data practices before you rely on it.

01Who we are

AccrualOS is a practice-management and automation platform built for Australian accounting and bookkeeping firms. The platform is developed and operated within the Sharktech Global technology group and runs on the VCPility automation engine. Where this policy refers to a "data controller", it refers to the AccrualOS operating entity.

02Information we collect

We collect information in the following ways:

Information you provide

  • Account and contact details — name, business name, email address, phone number, and role.
  • Billing details required to process your subscription (handled by our payment provider).
  • Content you enter into the platform, including client records, enquiries, documents, messages, and workflow data.

Information collected automatically

  • Usage data such as pages viewed, features used, and actions taken within the platform.
  • Device and connection data such as IP address, browser type, and operating system.
  • Cookies and similar technologies (see Cookies & tracking).

03How we use information

We use the information we collect to:

  • Provide, operate, and maintain the AccrualOS platform and its features.
  • Process your subscription, send service communications, and provide support.
  • Run the automations you configure, such as reminders, follow-ups, and booking confirmations.
  • Improve, secure, and troubleshoot the platform.
  • Comply with our legal and regulatory obligations.

We do not sell your personal information. We may share information only in these circumstances:

  • Service providers who help us run the platform (for example hosting, email delivery, and payment processing), bound by confidentiality obligations.
  • Within our group (Sharktech Global / VCPility) where necessary to deliver and support the service.
  • Legal requirements — where disclosure is required by law, court order, or to protect rights, safety, and property.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy.

05Cookies & tracking

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the platform is used. You can control cookies through your browser settings; disabling some cookies may affect how the platform works.

06Data storage & security

We take reasonable technical and organisational measures to protect your information against loss, misuse, and unauthorised access, including encryption in transit, access controls, and monitoring. Wherever practicable, client data for Australian practices is hosted in Australia. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

07Data retention

We retain personal information for as long as your account is active and for a reasonable period afterwards to meet legal, accounting, and reporting obligations. When information is no longer required, we take steps to delete or de-identify it.

08Your rights

Subject to applicable law, you may request to:

  • Access the personal information we hold about you.
  • Correct information that is inaccurate or out of date.
  • Request deletion of your information where we are not required to keep it.
  • Withdraw consent or object to certain processing.

To exercise any of these rights, contact us using the details below. You may also lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

09Third-party services

AccrualOS integrates with third-party tools such as Xero, MYOB, Karbon, Ignition, and others you choose to connect. Your use of those services is governed by their own privacy policies. We only access data from a connected service to the extent needed to provide the integration you enable.

10Children’s privacy

AccrualOS is a business tool and is not directed to children. We do not knowingly collect personal information from anyone under 16.

11Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, notify you through the platform or by email.
